Cancellation & Refund Policy

Luxury journeys involve reserved capacity with partners worldwide. This policy outlines how deposits, cancellations, and refunds typically work. Your specific invoice or trip agreement may include additional terms agreed at booking — those terms control if they differ from this summary.
Deposits
A deposit confirms your arrangements and allows us to secure guides, lodges, and permits on your behalf. Deposits are generally non-refundable once supplier commitments are made, except where required by law or where we secure a credit or partial refund from a vendor on your behalf.
Cancellation by you
Cancellation fees increase as departure approaches because supplier penalties typically do as well. Representative tiers may look like the following (final dates and percentages appear on your proposal):
- More than 90 days before departure: loss of deposit; balance refundable minus non-recoverable supplier costs, if any.
- 60–90 days before departure: up to 50% of trip cost, depending on supplier terms.
- 30–59 days before departure: up to 75% of trip cost.
- Fewer than 30 days before departure: up to 100% of trip cost.
Airline tickets, charter flights, special event tickets, or custom commissions may be fully non-refundable regardless of date — we will flag these clearly before you pay.
Changes & postponements
Date changes are treated as cancellations plus new bookings when suppliers impose penalties. Where partners offer credits, we will pass through available options minus administrative fees stated in your agreement.
Cancellation or alteration by pathandpixelpvtltd or suppliers
If we cancel a scheduled small-group departure due to low enrollment, you may transfer to another date, receive a travel credit, or receive a refund of amounts paid minus any non-recoverable costs already committed — we will communicate options promptly.
Events outside our control — including natural disasters, political unrest, pandemics, strikes, or supplier insolvency — may require itinerary changes. We will work to provide alternatives; refunds in these scenarios depend on supplier policies and applicable travel insurance coverage.
Travel insurance
We strongly recommend comprehensive travel insurance that covers cancellation, interruption, medical evacuation, and supplier default. Insurance is often the only path to recover non-refundable payments when unexpected events occur.
Refunds processing
Approved refunds are returned to the original payment method within a commercially reasonable timeframe after we receive funds from suppliers. Bank or currency conversion fees may apply.
How to notify us
Cancellations must be emailed to pathandpixel375@gmail.com from the lead traveler on file. Verbal cancellations are not accepted. The effective cancellation date is the business day we acknowledge receipt during office hours.
